How your document is stored
This is the one Penstead tool that keeps your file on a server — it has to, so your signers can open it from their link. Say you send a freelance contract to a new client: the PDF is held behind an unguessable link only your signers can reach, never listed or searchable, and the signing links stop working after 30 days. Requesting signatures: the details
Do I need an account to send a document for signature?
Yes — sending needs a free account, and it is the only part of Penstead that does. We are emailing a document to somebody else on your behalf, so we have to know the sender is real; the confirmation link you click to sign up is what proves it. A free account sends five requests a month. Everything you do to the document before that — editing, merging, redacting, placing the fields, signing it yourself — runs in your browser and needs no account at all.
Do the people I send it to need an account?
No. Each signer just opens their private link and signs in the browser. Only you manage the request; they don’t sign up for anything.
What proof do I get that it was signed?
Every completed request comes back as the signed PDF with a Certificate of Completion attached: who signed, the email address the link went to, the time each person opened and signed it, their IP address, and SHA-256 hashes of both the original and the signed bytes. The record is kept after completion, because a signature is only worth something if what stands behind it survives.
Where is my document kept, and for how long?
Unlike our in-browser tools, this one stores your PDF so signers can open it. It’s held behind an unguessable link that isn’t listed or searchable, and the signing links stop working after 30 days. You can delete it yourself whenever you like. Completed requests are kept, because a signature is only worth something if the record behind it survives — see our privacy policy.
Is there a watermark on the signed file?
No. The completed PDF comes back clean — the only things added to it are the signatures themselves and the Certificate of Completion page.
Can I send the same document to several people?
Yes. Add as many recipients as the document needs — landlord and tenant on a lease renewal, multiple family members for a house inventory form, several staff on an onboarding schedule. Each signer gets their own private link, in order if the document calls for it. You get a single completed copy back once everyone has signed.
How do I know when someone has signed?
The request shows you who has opened it, who has signed, and who is still outstanding, so you can follow up with the right person and grab the final PDF when everyone’s done.
About collecting signatures
Some documents can’t be signed alone — an NDA before a pitch, a contractor agreement, a landlord and tenant on the same lease, a parent signing a form for a school. You need other people’s names on the page, and emailing a PDF around and hoping someone prints, signs, scans, and remembers to send it back is a slow, lossy way to get there.
Request signatures replaces that with a link. You upload the PDF once, add the people who need to sign, and each of them signs online without creating an account.
